Palm Rent Car Rental Terms and Conditions

By using Palm Rent services, submitting a reservation, paying a deposit or prepayment, or taking delivery of a vehicle, you acknowledge that you have read and accepted the following terms and conditions in full. These terms are drafted as general rules for car rental services. Certain booking details may vary depending on the vehicle category, branch, country, rental period, insurance package, and final rental agreement. In the event of any inconsistency, the details stated in the booking voucher, invoice, rental agreement, or vehicle-specific booking conditions shall prevail.

1) General Booking Conditions

Submitting a booking request does not by itself mean that the rental is confirmed. A reservation is considered confirmed only after vehicle availability, customer information, payment conditions, and any related requirements have been reviewed and approved by Palm Rent. The company reserves the right not to confirm a booking, or to offer an alternative vehicle, if the provided information is incomplete, documents are invalid, details do not match, inventory is limited, or operational restrictions apply.

For some reservations, a deposit or prepayment may be required in order to finalize the booking. The confirmation status of the booking, payment timing, and whether paid amounts are refundable or non-refundable shall be subject to the conditions of that specific reservation.

2) Documents and Identity Verification

The vehicle will only be released to the person whose name appears on the booking, or to a person approved by the company as an authorized driver or recipient. Valid identification documents, a valid driving license, and any additional documents required under the laws applicable in the place of use must be provided.

The customer is responsible for the accuracy of the information provided, the validity of the documents, and their legal eligibility to drive. If documents are incomplete, identity details do not match, documents have expired, or false information has been provided, the company may refuse to release the vehicle and shall bear no responsibility for any related loss, cost, or consequence.

3) Payments and Final Settlement

The customer must pay all rental-related charges in accordance with the stated conditions and by the specified deadline. Such charges may include the base rental amount, booking deposit, security deposit, delivery or collection charges, add-on services, insurance upgrades, excess mileage charges, fuel-related charges, cleaning fees, damages, traffic fines, tolls, parking charges, and any other related expenses.

If the outstanding balance is not settled at the time of delivery, the company may refuse to hand over the vehicle. If, after the end of the rental, any additional cost related to the customer’s period of use is identified or officially registered, the customer remains responsible for paying it.

4) Security Deposit and Guarantee

For some vehicles or reservations, a security deposit or guarantee may be required. The amount, collection method, retention conditions, and refund timeline depend on the vehicle type, branch, country, insurance type, and booking terms, and will be stated in the relevant booking details or rental agreement.

The existence of a security deposit does not necessarily mean that all potential charges will be automatically settled from it, unless the company expressly states so in writing or in the agreement for that reservation. If any cost related to the rental period is identified after the vehicle is returned, the customer remains liable for payment.

5) Vehicle Delivery

The time and place of vehicle delivery will be based on the details stated in the reservation. The customer must be present at the agreed time and location. If there is any change in arrival time, delivery point, flight details, travel plan, or any other matter affecting delivery, the customer must inform the company as soon as reasonably possible.

If the customer does not appear, is significantly delayed, or cannot be reached, the company may change the delivery arrangement or charge the customer for waiting time, relocation, parking, or re-coordination costs.

6) Vehicle Inspection Upon Delivery

Before taking the vehicle, the customer must inspect its visible exterior and interior condition, as well as any visible technical warnings, fuel level, mileage, and similar items, and must report any issue immediately. Accepting the vehicle without reporting an issue shall be deemed acceptance of its visible condition at the time of delivery, unless proven otherwise with proper evidence.

To prevent future disputes, the company may require photos, videos, or a signed delivery form. The customer’s cooperation in this process is considered part of the standard delivery procedure.

7) Replacement Vehicle

If circumstances beyond the company’s control arise, including technical problems, preparation delays, inventory limitations, previous booking extensions, or operational restrictions, Palm Rent reserves the right to offer a replacement vehicle in a similar or higher category. If the customer accepts and takes the replacement vehicle, this shall be deemed acceptance of that vehicle and its applicable conditions.

The company does not guarantee a specific color, minor non-essential visual details, or limited feature variations unless such features have been expressly guaranteed in writing in the reservation.

8) Permitted Use of the Vehicle

The vehicle may only be used by the driver or drivers approved by the company. Subletting the vehicle, allowing unauthorized third parties to drive it, using it for driving lessons, racing, towing, abnormal transport, unauthorized commercial use, use outside the permitted geographical area, or any unlawful or abnormal use is strictly prohibited.

The vehicle must not be driven while under the influence of alcohol, drugs, medication affecting alertness, or in any condition that impairs safe driving. Full legal and financial responsibility for such use rests with the customer.

9) Fines, Tolls, and Violations

From the time the vehicle is delivered until it is formally returned, the customer is fully responsible for all traffic violations, fines, tolls, parking charges, impound or transfer fees, and any cost arising from the manner in which the vehicle is used.

The customer acknowledges that some fines or toll charges may be officially recorded after a delay. In such cases, any charge relating to the period during which the vehicle was in the customer’s possession shall remain the customer’s responsibility even if reported after the rental has ended.

10) Fuel Policy

The vehicle must be returned with the same fuel level as at the time of delivery unless a different fuel arrangement has been stated in the booking or agreement. If the vehicle is returned with less fuel, the customer will be charged for the missing fuel, refueling service, and any related fees. If the vehicle is returned with more fuel, no refund is generally due unless the company has stated otherwise in advance.

11) Mileage Policy

Some vehicles are subject to daily or total mileage limits during the rental period, while others may be offered with unlimited mileage. The exact mileage allowance will be specified in the booking or rental agreement. If the stated limit is exceeded, excess mileage charges will apply in accordance with the terms of that reservation.

12) Cleanliness and Return Condition

The customer must return the vehicle in a reasonable and acceptable condition. If the vehicle is returned excessively dirty, with strong odors, stains, spills, interior contamination, animal hair, smoke residue, or similar conditions, the company may charge professional cleaning or related restoration fees.

13) Late Return and Rental Extension

The customer must return the vehicle on the agreed date, at the agreed time, and at the agreed location. Any request for extension must be communicated before the rental period ends and shall only be valid if approved by the company. Continued use of the vehicle after the agreed rental period without approval constitutes a violation and may lead to late return charges, additional rental charges, insurance limitations, or legal action.

14) Accident, Damage, and Theft

In the event of an accident, damage, fire, theft, attempted theft, or any unusual incident, the customer must notify the company as soon as possible and comply with the laws of the place where the incident occurred, including contacting the police, obtaining an official report, preserving evidence, and fully cooperating with the company and the insurer.

Failure to provide required reports, leaving the scene, making a private settlement without approval, or delaying notification may result in the customer bearing full or increased financial responsibility for the loss or damage.

15) Technical Failure and Breakdown

If a technical issue occurs, a warning light appears, the vehicle has a flat tire, battery issue, or any other unusual condition, the customer must notify support immediately. Without company approval, the customer must not carry out major repairs, dismantle parts, arrange unsafe movement, or continue driving in a way that could worsen the damage.

If the issue is caused by normal wear or an unexpected mechanical fault, the company will act in accordance with its operational procedures to provide guidance, repair, roadside assistance, or replacement where appropriate. However, if the damage or issue is caused by misuse, negligence, or a breach by the customer, the related costs shall be borne by the customer.

16) Insurance and Scope of Liability

Each vehicle may be offered with basic insurance or selected additional coverage. The type of coverage, liability limits, deductible, exclusions, and non-covered situations are governed by the terms applicable to that vehicle or rental agreement. The customer is responsible for reviewing the insurance terms before taking delivery.

Insurance does not necessarily cover every type of damage or every usage scenario. In cases such as unauthorized driving, unlawful use, operation outside the permitted area, gross negligence, failure to provide an official accident report, handover to an unauthorized driver, or breach of contract terms, the company may treat the loss as outside insurance coverage and recover the related costs from the customer.

17) Personal Belongings Inside the Vehicle

The customer is solely responsible for all personal belongings, documents, cash, phones, luggage, and any other items kept inside the vehicle. The company is not responsible for the loss, theft, or damage of belongings left in the vehicle after delivery or return.

18) Right to Refuse Delivery or Continue Rental

Palm Rent reserves the right to refuse to release the vehicle or to terminate the rental if there is suspicious behavior, false information, inability to verify identity, incomplete documentation, failure to settle payment, unsafe driving condition, or any situation that, in the company’s reasonable judgment, threatens the safety of the vehicle, the customer, third parties, or the company’s legal interests.

19) Customer Responsibilities

From the time of delivery until the formal return of the vehicle, the customer is responsible for taking reasonable care of the vehicle. The customer must operate it carefully, respond appropriately to warning signs, prevent avoidable damage, and cooperate fully with the company in the event of any issue.

20) Priority of Agreement and Specific Booking Terms
